We carefully treat and strive to minimise any personal data we collect during our work. For all our activities, we aim to comply with the provisions of the General Data Protection Regulation (GDPR) of the European Union and the Dutch Personal Data Protection Act – Uitvoeringswet Algemene verordening gegevensbescherming (UAVG).

 

What is Personal Data?

Personal data consists of “any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person”.

 

Purposes and Legal Basis for Processing Personal Data

We only process your personal data:

  • To engage you in our research, consultations, interviews and events.
  • To share our findings and results with you via mailings, the website and newsletters.

As a rule, we will anonymise personal data. Personal data will only be included in any public reports with your prior, explicit consent. Only personal data that is necessary to achieve these processing purposes will be collected, and this data will not be used for purposes other than those stated here. No data will be shared with third parties (i.e., people and organisations which are not part of the community).

Our primary legal basis for processing your personal data is your consent. You have the right to withdraw consent at any time without any negative consequences. Also, another legal basis on which we process your personal data is our legitimate interest to ensure that we can communicate with you, our stakeholders, under Art 6(1)(f) of the General Data Protection Regulation (GDPR).

 

Our Website

The iBOL Europe website (https://iboleurope.org/) is managed and operated by the Naturalis Biodiversity Center (https://www.naturalis.nl/en), based in Darwinweg 2, 2333 CR Leiden, The Netherlands, on behalf of iBOL Europe.

The processing of web usage data is kept to a minimum. For reporting and evaluation purposes, we collect some statistics on the visits and downloads on our website with Matomo, a web analytics platform that gives us 100% data ownership. All data collected is anonymised, and we do not share it with third parties. The server software retains access logs (which contain individual IP addresses and pages visited) for troubleshooting and generating aggregate statistics. We use this information to provide an indication of faults and to identify peak usage times so that we can decide when to make significant site modifications.

The data collected by us via Matomo includes:

  • The IP address is shortened by the last two octets.
  • Information about the Internet browser and operating system used.
  • The URL of the page that was viewed before the current page (if the page allows it).
  • The length of stay on the iBOL Europe website.
  • The URLs of the pages visited on the iBOL Europe website.

We use personal data as described below to provide you with the edri.org page and other EDRi pages, make sure the communication remains secure and we use anonymous data for reporting and evaluation purposes.

We honour encrypted browsing (https) by default. Our websites are managed by our trustworthy service provider, Flaire (https://www.flaire.nl/), based in the Netherlands. Flaire will only use the logs and any other information to troubleshoot the supplied services and monitor usage patterns for security purposes.

Our website does not use cookies or web beacons, and we do not collect data from clicked links. The processing of web usage data is kept to a minimum. We have no control over tracking technologies used by sites and services to which we link.

Period and nature of processing, and the rights of the individual

We store your data for the shortest time needed after the purpose for which it was collected ends; it may be archived per contractual requirement for up to five years after it served the purpose for which it was collected or until you withdraw your consent, after which point it will be deleted. In addition:

  • You have the right to request the controllers to access the personal data we have that pertains to you.
  • You have the right to request the controllers to rectify any errors in your personal data to ensure its accuracy.
  • You have the right to request the controllers to erase your personal data.
  • You have the right to request the controllers to restrict the future processing of your personal data, or to object to its processing.
  • You have the right to data portability – upon request, the data controller should provide you with a copy of all data we have regarding you in a structured, commonly used and machine-readable format.

As the processing of your personal data occurs based on your consent, you have the right to withdraw your consent at any time and we will cease further processing activities involving your personal data. However, please note that this will not affect the lawfulness of any processing already performed before you withdraw your consent.
You have the right to lodge a complaint with a supervisory authority, such as your national data protection authority.
